🌿 Retreat Booking Terms & Conditions

The Farming Chefs

We’re so excited to welcome you to a truly nourishing experience — where food, nature, and community come together. To make this possible for everyone, we’ve created clear and fair booking terms that protect both your plans and ours. Please read them carefully before confirming your booking.

1. Deposit & Final Payment

To secure your place, we require a deposit of 15–30%, depending on the retreat. The exact amount will be displayed at checkout.

• 15% of the total retreat price is always non-refundable, even if the full deposit is higher.

• The remaining balance is due 8 weeks before the retreat start date. You’ll receive a friendly reminder beforehand.

2. 14-Day Cooling-Off Period (Under Portuguese Law)

If you book your retreat online, you are entitled to a 14-day cooling-off period. If you cancel during this time — and your retreat is more than 14 days away — you will receive a full refund, minus payment processing fees (usually just a few euros per person).

After this period, our standard cancellation policy applies.

3. If You Need to Cancel

Because our retreats are small and personally curated, we begin preparing well in advance — reserving accommodations, sourcing ingredients, and planning guest experiences. Each cancellation impacts not only us, but the group.

Here’s how cancellations are handled:

• More than 60 days before the retreat:
  We’ll retain the non-refundable portion of your deposit (15%), but any additional payments made will be refunded.

• 30–59 days before the retreat:
  No refund is available at this stage. However, if we are able to fill your spot, we’ll offer you a voucher for the amount paid (minus the non-refundable 15%), valid for 6 months toward any future retreat.

• Less than 30 days before the retreat:
  We are unable to offer any refund or voucher, as all major expenses have been committed by this point.

4. Booking Transfers (Name Change)

If you can no longer attend, you are welcome to transfer your booking to another person, free of charge, up to 7 days before the retreat. Just email us their full name and contact information. We’ll do our best to ensure a smooth handover.

5. Force Majeure (Things Beyond Our Control)

In the unlikely case of events beyond our control — such as natural disasters, severe weather, political unrest, travel bans, or health emergencies — we will issue you a credit voucher for the full amount paid. This can be used toward a future Farming Chefs retreat within 12 months.

We do not offer cash refunds under force majeure conditions, as costs on our side are often already incurred.

6. Travel Insurance

We strongly recommend purchasing comprehensive travel insurance that includes cancellation coverage, medical emergencies, and force majeure events. This provides you peace of mind and helps recover costs should something unexpected arise.

7. Health, Diets & Responsibilities

Please let us know in advance about any food allergies, dietary restrictions, or medical conditions. While we do our best to accommodate all guests, participation is at your own risk. The Farming Chefs is not liable for personal injury, illness, loss, or damage during the retreat.
